General rules and guidelines

  • Keep your personal belongings at the property counter.
  • Take care of your belongings, library staff will not be responsible for the loss of reader's personal belongings.
  • Please ensure that the log book at the library gate is duly filled with every entry.
  • Books taken out while browsing the library collection should not be reshelved. Please leave them on the table.
  • Users are advised not to borrow Books for others, in their names.
  • Books can be renewed up to two times, as long as there are no reservations placed on those titles.
  • The ‘Issue Transaction Slip’ should be handed over to the attendant/security guard at the checkpoint/exit gate.
  • Books should be brought physically for return and renewals.
  • Current issues of the periodicals/journals are not issued to the users, however back volumes of journals can be issued only to Faculties for a period of one weeks only.
  • User can reserve the books through OPAC as well .
  • Members have the option to obtain photocopies of specific chapters or sections from resources that cannot be borrowed, by paying the designated fees.
  • Members must replace the book if lost, with the latest edition.
  • Consumption of Food and Beverages inside the Library Premises is Stictly prohibited.
  • While we acknowledge the importance of answering phone calls, doing so inside the library may disrupt fellow readers. We kindly request that you take your phone calls outside of the library premises.
  • We greatly appreciate maintaining absolute silence within the library premises.

Circulation guidelines

Only Registered Members can borrow general, textbooks, from the Library on production of their institute Identity Card at the circulation desk. Each book issued to the user(s) must get a proper gate pass which they have to surrender at the checkpoint to the security. The Library provides the following circulation services:

  • Registration of new members.
  • Issue/Check-out
  • Return/Check-in
  • Renew
  • Reservation/Hold
  • E-mail Alerts on every transaction and overdue alerts to users.
  • Issuing NO DUES certificate to the users.

  • The user shall not write upon, damage or mark any book belonging to the library.
  • The user responsible for any damage caused by him/her to the books or any other property belonging to the library, shall be required to pay the penalty imposed upon him/her by the Librarian.
  • The Security Guard at the library gate will check all personal belongings including library books issued to a member.
  • The reader should check the books before borrowing to ensure that these are not damaged. If a book is found to be damaged or certain pages are missing, the borrower should get this statement recorded on the book, otherwise he/she shall be held responsible for the damage, discovered at the time of returning the books.

  • User will bring the selected books along with his/her ID Card and filled Book Card to the circulation desk.
  • After verifying the ID card of the user and Book Card, the Circulation staff will Checkout the book(s) and put Due Date stamp on the Date Slip with his/her initial.
  • With issued books, the circulation staff will also provide system-generated gate pass slip(s) to user.
  • The user will show the books and submit a gate pass to the Security Guard.
  • For Check-in, the user will bring books to the circulation desk and the Circulation staff will return them from the user account, cut the due date from the Due Date Slip and staff will place the Book Card in the Book Pocket.
  • The user can renew each title two times only if the book is not reserved by another user.

  • Renewal Facility:- Two time Renewal facility is provided to all the Library members before the due date of the Book(s).
  • Book Reservation Facility:- A user can avail ‘Book Reservation Facility’ when all copies of a title are checked out (i.e. not available on the shelf) from the library.
  • Reserve/Hold the book/s through the online catalogue, using the "Place hold" option.
  • The reserved items should be collected within 24 hours, the reservation will stand cancelled and the item will be issued to another immediate member.
  • Email Alert Services:- The various Email alerts (like check-in/check-out/renewal/reserve/book overdue etc.) are sent to Library Members on regular basis to keep the user up to date. Apart from this, the library also sends various updates/notices/circulars etc. to the Library members through an official email ID to keep them informed.

General books can be borrowed by all eligible members as per their entitlements. Textbooks will only be issued for 10 days.

Reference Books, Theses, CDs and loose issues/bound volumes of periodicals will not be issued

  • Items that are returned after the due date are considered overdue.
  • General Books - @ Rs. 2/- per day per book up to 15 days and after 15 days it will be calculated @ Rs.4/- per day per book.
  • Text Books - @ Rs. 5/- per day per book.

  • Lost book(s) should be replaced by the same or latest edition of the book with overdue charges.
  • In case, it cannot be replaced then the following norms will apply

Library Membership guidelines

  • All those employees who leave the Institute must obtain a Clearance Certificate from the Librarian.
  • ‘No Dues Certificate’ concerning library membership will be issued by the Library only after the library dues are fully cleared upon completion of programme.
  • An employee can get “No Dues Certificate” for resignation/relieving only after fully clearing his/her library account.

  • Faculty, students, and employees of the Institute are entitled to the membership of the Library.
  • For Library membership everyone is required to fill up a membership form. The form is available at the circulation counter OR can be downloaded from the library website.
  • All faculty, students and staff members can use library facilities by showing Institute ID cards issued which is treated as the library membership card.

  • Students have to do Self-Registration to get a membership of the library followed by submitting a soft copy of a passport-size photograph through the email at library.circulation[at]spab.ac.in and a hard copy of the Library Membership Form along with a photocopy of Admission slip/Bonafide Certificate /Institution ID card at Circulation Desk.
  • Library Membership Form is available at the Library website or at the Circulation Desk.

  • The Bonafide members of the institute have the following privileges as per the category.
  • Borrowed books must be returned within/ on the due date mentioned in the due date slip of the document issued.
  • Each member has to produce his/ her ID card at the Circulation Counter to issue/ borrow the document.

FAQs

All students, faculty members and staff (working and retired) of the institute are authorized to use the library. Institute alumni, retired staff members and visiting faculties can only refer to the library. However, for availing the borrowing facility, users need to enroll themselves as library members after fulfilling the requisite procedures

Architecture and Planning professionals, researchers and students affiliated to an institution, corporate bodies like industries, can use the library for a limited period with a prior permission and he/she must carry a valid institute ID Card. However, the outsiders are discouraged from making use of the library.

Yes Users are allowed to bring their personal books, borrowed books and other reading materials to the Library. But, he/she has to collect gate passes from the circulation desk and submit to security at the time of exit.

Regular faculty members and staff of the institute with a valid library membership can recommend a book for purchase by submitting duly filled "Book Indent Form” forwarded by their respective section head. Students and project staff can do the same through any faculty member. The book will be acquired subject to the availability of funds and approval of the competent authority.

Regular faculty members, staff and research scholars can submit the duly filled “Journal Recommendation Form” through their respective Head of the Department to subscribe to a new journal/magazine. It may, however, be noted that the Library can subscribe to only a limited number of journals for a given Department / Centre from the funds allocated to the respective Department / Centre from the allocated budget ment for subscription of journal.

No. Use of loose and bound journals is restricted to library premises only like the reference books, thesis, reserve books, etc.

The online catalogue can be accessed through internet using http://14.139.241.253/ . You can search and browse by author, title, subject, etc. You can see the new arrival list and check your account (books issued, due date, fine etc.).

Full-text electronic journals that are available under the Current Journals menu in the Library Webpage within the academic campus only. The same can also be accessed through respective publisher's websites also..
